Flute Fair Exhibitor Information

Exhibit Fees** with table size 5’x2.5’

● Registration with 1 table $60

● Registration with 2 tables $80

● Registration with 3 tables $100

● Registration with 4 tables $120

● Each additional table beyond 4 is an additional $10

Exhibit Hall Hours are 9:30 AM - 3:30 PM

Setup Hours:

7:30 am - 7 tables or more

7:45 am - 5 tables or more

8:00 am - 4 tables or more

8:15 am - 1 tables or more


Exhibitors must vacate the premises no later than 5:30 PM


* The Exhibitor only hour (when no other programming is planned) will be from 12:15-1:15.


Important Dates and Deadlines:

● January 5, 2026: Booth sales open

● February 13, 2026: Last day to register to exhibit

● February 27, 2026 (11:59 PM): Last day to submit ads for the Flute Fair Program (ad purchasing can be found here)

● March 13, 2026: Last day to add tables and all payments due in full

● April 7, 2026: Last day to request complimentary use of GPFS tablecloths (note that these tablecloths are white)


REFUNDS WILL BE CONSIDERED ON A CASE-BY-CASE BASIS

LIABILITY AND INSURANCE

All exhibitors are solely responsible for any damage, loss, or injury related to their displays and property while on-site. By participating, the exhibitor agrees to protect and hold the Greater Portland Flute Society, its board members and volunteers, Clackamas Community College and all staff harmless from any legal claims or financial losses. Please note that the Greater Portland Flute Society does not provide insurance for your materials; we strongly recommend that exhibitors carry their own property and business interruption insurance.

GENERAL RULES & REGULATIONS

● By registering to exhibit at the GPFS Flute  Fair, exhibitors expressly agree to set up and dismantle according to the published schedule. All exhibitors must vacate the building by 5:30 PM.

● Unloading/Loading information can be found at the bottom of this document. Vehicles must be moved to one of the nearby parking lots immediately after unloading to ensure we have room for all exhibitors to unload.

● Carts will be available for your use. Please return them to the check-in table area in Wacheno once you are finished using them.

● Exhibitors may not move into vacant booths or utilize the unused tables of another exhibitor without purchasing the additional space. If you would like to purchase additional space on site, please contact Commercial Membership Director.

● Tables may be moved within your designated space, but must stay within the space originally designated for the booth.


PARKING AND DIRECTIONS

Safety Requirements:

 When you drive onto the path/road noted in the Driving Instructions below, you are required to have your emergency flashers on and only drive at a walking speed.

  When parked for loading or unloading, make sure you keep a clear path through the quad for emergency vehicles.


Directions to Clackamas Community College - Wacheno Welcome Center:

Upon turning off of Hwy 213 into CCC, take the first left on Douglas Loop. Take note of the Yellow parking lots on your right, but drive the loop until you get to the far end of the Yellow Parking Lot 1.

  Turn right at the last turn into Yellow Parking Lot 1. Continue driving straight - you will see sports fields to your left and Yellow Parking Lot 1 on your right and it will look like the road ends, but there is a slight incline to a walking path/authorized vehicle road. There is a sign on the left stating the path/road is for “Authorized Vehicles Only Beyond This Point”.

  Drive onto the path/road. It will curve slightly to the left (you will pass a ball-shaped sculpture that will be on your right). Continue driving. When you see a red sculpture on your left, Wacheno will be past that on the right. There will be a sign outside the entrance to Wacheno where you can unload your vehicle. An email with this information and pictures will be sent prior to the event.

Unloading Instructions:

The loading area is just outside the entry doors designated at Wacheno. There is enough room for 2-3 vehicles to park for unloading but you must keep a clear path through the quad for emergency vehicles.

As soon as you unload, drive your vehicle back down the path/road the way you came and park so the next exhibitor can unload. You may want to park in the Yellow lot since it’s closest to the path/road. 

*Parking is prohibited in the area in front of the Wacheno Welcome Center and security will issue tickets to vehicles parked there as it is for emergency vehicles only.

Parking is free throughout the campus. 

Unload at the main doorway at the east side of Wacheno Welcome Center.  


Please Note:

  Follow the Safety Requirements and Driving Instructions above.

  Watch for signage

  Park and unload.  Remove your vehicle as soon as you unload.  

  A limited number of hand carts will be provided by GPFS volunteers.  Please return hand carts to Exhibit Hall so others can use them.


Unloading if you only have 1 – 2 tables

If you don’t have much to unload, you may want to park in Orange Lot #1 and walk around to the back of Wacheno Welcome Center rather than drive the path/road from Yellow Lot 1. Driving or walking is your choice.


If you choose to unload by walking from Orange Lot #1:

Drive on campus turning right on Douglas Loop and then you will see the sign on your left for Orange Lot 1.

There are some parking spaces in the Orange Lots marked as 2-hour parking only. Do not park in those marked spots as the time limit is enforced.
